 RENTAL DETAILS

Planning an event is already stressful enough, let us help you.   Before making your rental wishlist, please carefully read through all sections.

RENTAL RATES

The prices listed for each item is a flat rate that only covers the cost of that specific item.  The price shown is for one individual item unless a quantity or set is specifically listed.  Item price not include the cost of delivery, pick up, set up, break down, tax, damage waiver deposits, installation or labor.

DELIVERY

We offer delivery services within a 60-mile radius of our warehouse. 

At our discretion and during periods of reduced demand, deliveries outside of this radius may be considered.

Specialty hanging or ceiling installations require additional labor and  service fees.

Please note that all standard deliveries are scheduled within a 2-hour arrival window.  You will schedule your delivery with our rental specialist.

If your order does not meet the delivery minimum or delivery slots are full, Will Call (client pickup) is available.

All deliveries may be subject to additional fees. Potential fees include, but are not limited to:

Off-hour delivery or load-in/load-out (11:00 PM – 6:00 AM): $200

Time-definite delivery: starting at $250

1-hour arrival window: add $200

All fees are based on delivery distance and service requirements and are subject to change.

DEPOSIT & PAYMENT

Securing your rentals is a simple two-step process:
 

1. Sign Your Rental Contract
Once you approve your quote, you’ll receive an electronic contract to sign.
 

2. Pay the 50% Non-Refundable Deposit
Your deposit officially reserves your items.

Items and prices are not locked in until the contract is signed and deposit is paid.  Unsigned rental quotes are automatically deleted after 14 days.  Items are first come, first serve. 

14-DAY POLICY

Kindly note, you may still add, remove, or adjust quantities after booking. All final updates are due 14 days prior to your event date. This gives you flexibility while ensuring your must-have items are secured early.

If you’d prefer to avoid logistics fees, you are also welcome to pick up and return your rental items directly from our office located at:

Pickup and return must occur at an agreed-upon contracted day and time within our business hours: Monday–Thursday | 10:00 AM – 4:00 PM EST

CANCELLATION POLICY

We understand that plans can change, and we want to be as flexible as possible while still protecting our small business.

If your event is cancelled, your deposit is non-refundable.

If you need to reschedule your event, we’ll do our absolute best to accommodate your new date with the rental items you originally selected. While we can’t guarantee availability for the new date, we’ll always try to help where we can. If a new date is confirmed, a new agreement will be created with the updated event details.

Any payments made for your original event date will transfer to the new date if you choose to reschedule. Please note that no refunds are issued for cancellations.

CARE, DAMAGE & LIABILITY

Do you move personal or non-rental items?

No, our rental logistics team does not move any personal or non-rental items.  If, as a courtesy, our team agrees to move something that is not a WDE rental item, it is done at the client’s own risk, and we cannot be held responsible for any damage.

What about floors, grass, or outdoor surfaces?

Most of our rental items may be placed outdoors on grass or other surfaces. Please note that additional cleaning fees may apply if items are returned with stains or excessive soiling.

Who is responsible for rental items during the event?

From the time items are installed until they are picked up, the client is responsible for all rental items. This includes protecting items from weather, theft, vandalism, and other damage.

What is the damage waiver?

Every invoice includes a 10% non-refundable damage waiver, which covers minor wear and tear to rental items.

If damages exceed normal wear and tear and go beyond what the damage waiver covers, the client will be responsible for the cost to repair or replace the item(s). White Dahlia Events will handle all repairs or replacements and invoice the client for the remaining balance after the damage waiver is applied.

What if weather affects my rental items?

We take reasonable steps to minimize weather-related risks for outdoor events. We may provide tarps to cover the rental items if weather looks unpredictable.  However, once items are delivered and installed, the client is responsible for protecting our rentals.

Your rental quote will include:


- 10% Damage Waiver (covers minor wear and tear; non-refundable)
- Sales Tax
- Delivery & Retrieval Logistics Fees (if applicable)
- After-hours Labor Fees  (if applicable)

Other additional fees that could be included:

- Installation Fees

- Additional Labor

- Set-Up and/or Break-Down Fees

WISHLIST

Start by creating your online wishlist below—simply add your desired rental items to your cart. When you’re finished, submit your wishlist and it will be sent directly to our Rental Director.  They will be in touch with a formal quote that includes delivery fees, labor costs, add-ons, and next steps.

Rental meetings are by appointment only.
